Sending Export Declarations in SAP GTS

- Once sent, the system automatically validates the declaration.
Customs Response & Error Handling
- If no errors are found, the customs office accepts the declaration immediately.
- If errors are detected, the customs office sends error messages:
- Technical Errors: EDIFACT message E_EDI_NCK (SAP GTS: I2440).
- Specialist Errors: EDIFACT message E_FEHLER (SAP GTS: I2430).
- The exporter must correct the errors and resubmit the declaration.
Assignment of the MRN (Movement Reference Number)
- Upon acceptance, customs assigns an MRN (Movement Reference Number) to track the shipment.
- Customs sends an E_EXP_STA message (SAP GTS: I2400) confirming receipt and approval.
Goods Release & Export Confirmation
- If no inspection is required, the customs office automatically releases the goods.
- The system sends:
- E_EXP_REL (SAP GTS: I2410) – Approval for export release.
Export Accompanying Document (EAD) & Exit Notification
- The customs office generates an EAD (Export Accompanying Document) as a PDF file, which can be:
- Viewed, printed, or saved directly from the customs declaration.
- Emailed as an attachment using E0010 (SAP GTS: Email export accompanying document).
- When the goods physically leave the country, customs sends:
- E_EXP_NOT (SAP GTS: I2420) – Export confirmation with exit note PDF.
- This can also be emailed using E0011 (SAP GTS: Email outgoing note).

- SAP GTS provides a Communication View showing the export process flow with:
- Outgoing messages (declarations & notifications).
